This can require thousands of inspections of mechanical, electrical and plumbing systems. In addition, assets such as roofs, structural elements and parking garages need evaluation, along with interior spaces such as offices, conference areas and restrooms.
To accomplish this, spreadsheets are often utilized as they are inexpensive and easy to implement. However, any costs savings can be quickly lost with inefficiencies in the data gathering process, as well as managing the collected content that resides in thousands of rows and columns in the spreadsheets.
E-form apps can simplify data capture and can definitely improve process efficiencies over spreadsheets. Unfortunately, they can still be relatively inefficient in collecting information, and present similar data management challenges due to limited capabilities for data structuring. Both solutions typically allow for subjective input and cannot support the wide variety of content that needs to be collected.
There are thousands of different types of assets, all with unique attributes. Often times much of that data is available in a CMMS, but cannot be leveraged in conventional methods of collecting data by spreadsheets and e-form apps. Much of the data has to be created each time an inspection is taken, and information on the assets, as well as results of past inspections cannot be leveraged.
The issues continue to mount, when the results of the inspections are attempted to be aggregated, reconciled with other systems and used to support business decisions. Different data structures and nomenclature can make it difficult to reconcile and integrate the data with other sets of information. Often times the output from the inspections cannot be fully leveraged for advanced reporting and analytics.
Data quality is a common problem in any data collection effort. System controls are often missing or inadequate to prevent subjectivity and errors to occur in the results. Answers to questions, although technically correct, can often provide little guidance on what action needs to be taken.
Facility managers need solutions that are fully integrated and flexible. Data that is already available needs to be leveraged in the inspection processes. The collected data needs to be easily utilized in conjunction with other systems, and data collection solutions need to provide additional capabilities besides just delivering a massive set of content. The results of the inspections need to provide accurate content that is actionable.
